Frequently Asked Questions
All alcohol must be purchased through a licensed caterer or bar service. You can arrange with them to provide a hosted bar, cash bar or mixed bar for your event.
We do book rooms on a first-come, first-serve basis in order to be fair to all clients. In order to book the room, you will need to provide the room deposit or 20% of the total rental fee (whichever is greater).
The Wolcott Galleria has a wide variety of tables and specialty linen options available to our clients for your convenience. We do require that all chairs, tables, and linens are rented through our venue. Set-up and tear-down is handled by the staff.
DECORATION & SET-UP
We have very minor decoration restrictions which are in place to preserve the beauty of the venue. Clients are not allowed to use nails, tacks, staples, or any other sharp object to hang decorations. Wire and tape are permitted but must be removed at the end of the event. Candles or open flames are permitted in the Ballroom and Reception Rooms as long as they are contained in a hurricane, vase, or other fire resistant container . If you have a specific question about decorations please feel free to ask our Event Services Manager.
We will call to schedule a final details meeting 30 days before your event date. At this time, we will require a final guest count and final payment on all services.
All three event rooms are equipped with brand new heating and cooling systems. The support staff member that is on site during your event can assist with air conditioning or heating.
The Wolcott Galleria prides itself on being a full service banquet venue that provides only the best for our customers. We have hand chosen only the best partners to ensure that your event is a memorable occasion. We strongly encourage that you consider our preferred vendors before looking at alternative vendors.
The Downtown Casper parking garage is a block south of The Wolcott Galleria. It has 71 hourly spaces which are available during the week for a minimal hourly charge. Parking in the garage and on the street is free on weekends without restrictions.
Decorating time is available the day before your event.
Rehearsal time is included with your event.

Event rooms are rented in 6 or 12 hour time blocks. Rental blocks include time for set-up, decoration, the event and clean-up. You are required to have all decorations and personal items out of the building at the end of the scheduled rental time block. Our latest available time block ends at 1:00am.
The Wolcott Galleria can create simple signage to help direct your guest to the second floor. We will coordinate with you at the final details meeting to determine your event colors and what you would like the signs to read. We can also dedicate our electronic sign for your event. This will also be coordinated at the final details meeting.
The Wolcott Galleria provides one staff person to be on-site during the entire span of your event. We will check you in upon your arrival and assist with heating, cooling, lighting, restroom supplies, etc. At the conclusion of your event, we will complete a check-out with you.
